The Trustee Office Dubai, Explained
Everything we do between signing the MOU & the day you get your keys is working towards one thing. Transfer day at the trustee office.
Most don’t actually know how the trustee office works. Other emirates don’t have them, instead, they opt to complete all property transfers at their respective land department.
So, this is a quick post to explain, and answer any questions you may have about the trustee office, and how it works, before attending.
What is the Trustee Office?
Not the land department, as many assume. Trustee offices are private companies, registered and authorised by DLD, whose entire job is to execute property transfers on DLD's behalf. Think of it as the DLD's front desk, doing the paperwork and making sure everything is in order.
Dubai has so many transactions happening every day, it wouldn’t be able to facilitate all on it’s own without serious investment, so trustee offices help manage the scale of work, without massive investment, all while stimulating entrepreneurship in the city.
The Trustee Office is where everything happens
The day cheques swap hands, the title deed gets reissued in the buyers name, and the new owner walks out with keys to an actual home instead of a folder full of paperwork. Everything before this point, the MOU, the NOC, the mortgage approval, the manager's cheques, has just been prep work for this one appointment.
Once we complete everything at the trustee office, we’re done (unless we’re attending for a blocking appointment). The madness is over, and you are officially the owner.
Who Needs to be at the trustee office appointment?
Generally you'll need:
Buyer and seller (or their POA holder if one's been appointed)
The agents involved, usually
A bank representative, if there's a mortgage on the buyers side
Your conveyancer, if you have one in your corner (and you should)
What do you need to bring to the trustee office?
Your conveyancer will submit everything to the trustee office, the bank will send their documents, all you will need to bring is:
Original Passport & EID
The managers cheques you have created
credit/debit card card for remaining payments
cash, if required by the specific trustee, or for service charges.
If something's missing or wrong, you're not getting called up. So this is the bit where your conveyancer or agent earns their keep, chasing everything down in advance so transfer day doesn't turn into a standing-around-awkwardly day.
What actually happens at the trustee office?
Once all parties arrive, and the missing pieces are handed over (cheques, physical IDs, etc.) We’re given a number and added to a queue to see a trustee.
When called to their office the representative:
takes the remaining cash or card payments
confirm details for all parties and the property
submits the case to Dubai Land Department for approval
We are then asked to leave and wait in the waiting area again. During this time (approximately 30 minutes) we are waiting for DLD approval. This is the point where service charges refunds, or rental refunds are exchanged.
When approval comes through, the buyer receives their title deed by email, and the keys from the seller. The seller returns to the office to collect their cheques.
How long do we spend at the trustee office?
It depends on a few factors. Which trustee office are we going to? Is it busy? Is everyone on time?
I have attended transfers that completed in under 30 minutes, and others where we sat for 4 hours due to system issues. Generally, you’re safe to allot 2 hours to complete the entire process.
Can something go wrong at the trustee office? Will I lose the property?
90% of anything that can go wrong in a property purchase/sale will happen before you get to the trustee office. Before we go to the appointment, we align all the requirements:
NOC (No objection certificate) is received from the developer confirming all is in order on their side
Bank approval is received
Sellers mortgage is cleared and documents confirming have been collected
Cheques and payments have been issued
Service charges have been paid to date
Before you book the trustee appointment, your conveyancer will ensure all these boxes are ticked.
At the trustee office, if there is an error, it’s generally an admin issue that can be rectified. The rep input incorrect information, there’s a typo on a document, or cheque.
In that case, we rectify the issue and resubmit. Most are rectified in a few minutes, up to a few hours.
